Review Workshop (Phase II)

The review workshop is the midterm review of the project. We share the findings from the initial interviews and research activities, reflect on the progress, and fine-tune the approach.

1. Purpose

During the first two weeks of our exploration, the team completed their first research activities, e.g. conducted the first interviews with experts or customers and documented them. Depending on their level of experience, the team members will have learned a great deal about interview techniques.

In most cases, the teams have very positive experiences in their first interviews and are extremely surprised at how open their interviewees are and how willing they are to share their experiences. This provides a great boost to motivation and whets the appetite for the upcoming research.

In the review workshop, the team presents their results to each other. Initial findings are identified and discussed.

If we focus on customer research we attempt an initial target group segmentation using the behavioural differences which are already apparent. This helps the team recognise what is important in their interviews and documentation.

We reflect together on the approach taken so far and make adjustments, e.g. in the selection of interview partners for the second part of the research and in the interview guide.

Helpful questions for reflecting on the approach taken so far:

  • Are we talking to the right companies?

  • Are we talking to the right people in the companies?

  • Are we asking the right questions? And are we asking the questions correctly?

  • What further information is important?

  • Where should we dig deeper?

  • How are we progressing?

4. Preparation

As a Research Team Member

By the time of the review workshop, all research activities that you have completed so far must be documented. As you document them, it is best to highlight particularly concise and important quotes or findings. Save all documents in the agreed-upon location so that everyone involved can access them.

You should internalize the findings to the extent that you can present them vividly and concisely. Reading aloud is not an option!

If applicable, update the overview list of potential interview partners with the current status of contact history and additional interview candidates.

As a Business Design Coach

It is particularly important for inexperienced teams to receive feedback after their first interview and research documentations. Even if you have explained to them beforehand what good documentation should look like, you should review their documentations and point out areas for improvement, both in terms of the type of documentation and the questioning technique.

When reviewing documentations of qualitative interviews, pay particular attention to the following aspects:

  • Was a specific past situation discussed step by step (customer journey)? Or, were general processes explained?

  • Did the interviewer ask open-ended questions? Listen to the original audio file as well.

  • Was the interview documented using direct quotations?

By the time the review workshop rolls around, you should have read all the research and interview documentations as a coach. Have you already noticed any similarities and differences in behaviour that could be useful for segmentation?

Check how many contacts are listed in the overview of potential interview partners and what the status of the appointment arrangements is. If the team is having a hard time finding interview partners, think about possible additional ways to get them.

Throughout the project, you should keep an eye on the research charter. Does the current approach fit the agreed research framework? Is there a need for clarification or fine-tuning?

6. Documentation

    When making adjustments to the guideline: Save the updated version of the guideline and documentation template.

  • Interview documentations are ready to use in the Project Workspace in their respective folders

7. Q & A

  • What if no (or only very few) interviews have been conducted by the time of the review workshop? The review workshop only makes sense if at least six interviews have already been conducted. If this is not the case, postpone the workshop by one week. However, discuss with the team what has prevented them from conducting the interviews so far and take measures to counteract this.

  • What if the team does not identify enough potential customers and non-customers who could be interviewed? Define together the selection criteria and the widest possible range of interviewees within the research framework. Consult the sales department and ask them to put you in touch with the right contacts. After each interview, ask for more interesting interviewees to create a snowball effect. Bear in mind that you will not be able to make an appointment with all potential interviewees in the short time available (6 weeks). You must therefore have more candidates on your list than you want to interview.

  • What if some team members tell you that they are not able to work on the tasks because they are too busy? The availability of the team members should have been addressed before the workshop when you were about to prepare the Research Charter. Schedule 1-on-1 with the team members and review their calendars for the next two weeks. There are always possibilities to postpone or cancel other activities.
